Follow-Up Actions

The Actions module in SNA Toolbox is your team's centralised space for managing student follow-up tasks during the data collection period. When a student's survey responses indicate they may need attention, a follow-up action is raised — either automatically by the platform or manually by a staff member. Actions help you keep track of who needs follow-up, assign responsibility to the right person, and record what was done once the task is resolved.

Actions can be created in two ways:

  • Automatically — Generated by the platform when a student's survey response triggers a rule configured by your project administrator (for example, a response indicating a wellbeing concern).
  • Manually — Created by a staff member directly from a student's profile when a follow-up task needs to be recorded outside of survey rules.

Open your Project → Select your Panel → Click Actions

The Action List

The Action List shows all actions currently open within your project and panel. Each row represents a single action and includes the following information:

ColumnDescription
NodeThe student the action relates to.
Action TitleA short summary of what needs to be done.
StatusThe current state of the action — Pending, In Progress, Resolved, or Ignored.
PriorityThe urgency level — Low, Medium, High, or Critical.
Due DateThe deadline for completing the action.
Resolved DateThe date the action was marked as resolved, if applicable.
Assigned ToThe staff member(s) responsible for this action.

Use the Search bar in the top-right corner to find a specific action by student name or title.

Viewing and Updating an Action

  1. Click the view icon at the end of an action row to open the action detail panel.
  2. From the detail panel, you can update any of the following fields:
    • Title — The name or summary of the action.
    • Status — Update the current state of the action as work progresses:
      • Pending — The action has been raised but not yet started.
      • In Progress — Work on this action has begun.
      • Resolved — The action has been completed.
      • Ignored — The action is not being pursued.
    • Priority — Adjust the urgency level if circumstances change.
    • Assigned To — Add or change the staff member(s) responsible.
    • Due Date — Update the deadline if needed.
    • Description — Add or edit details about what is required.
    • Activity History — Add notes to record what has been done. All updates are automatically logged here with a timestamp, creating a full history of the action.
note

Changes to action details are saved automatically as you make them. There is no save button.

Filtering and Organising Actions

You can filter the Action List to focus on specific subsets of actions. Use the filter controls at the top-right of the list to narrow the view by status, priority, assigned user, or due date.

To switch between a table layout and a card layout, use the view toggle icons in the top-right corner of the page.

Creating a Manual Action

If you need to record a follow-up task for a student that was not triggered automatically, you can create an action manually from the student's profile.

  1. Navigate to the student's node profile:
    • Open your Project → Select your Panel → Click Nodes → Select the Student tab → Click the student's name.
  2. Open the Actions tab on the student's profile page.
  3. Click Add Action.
  4. Complete the following fields:
    • Title — A short description of the task.
    • Priority — Set the urgency level.
    • Assigned To — Select the responsible staff member(s).
    • Due Date — Set a deadline.
    • Description — Add any relevant details or context.
  5. Click Save — the action is created and will appear in the main Action List.
note

Manually created actions follow the same workflow as automatically generated ones. They can be updated, reassigned, and resolved in exactly the same way.
